UC Users
Adds and manages user accounts in the Xima UCaaS Admin Portal, the NetSapiens-based interface for phones, extensions, and scope-based permissions.
The Xima UCaaS Admin Portal is the NetSapiens-based interface used to manage users, extensions, and phone system settings independently of CCaaS. Each user created here is a live phone system user — distinct from a virtual handset extension registered to CCaaS for call routing, see SIP Extensions.

Adding a User
Selecting Add User opens the Add a User form, covering identity, emergency information, permission scope, and voicemail for a single extension:
| Field | Description |
|---|---|
| First Name / Last Name | The user's name |
| Extension | The extension assigned to the user. Fixed once the account is created and cannot be changed afterward. |
| Department | The department the user belongs to |
| Site | The user's physical location |
| Email Address(es) | One or more addresses used to send the user their password setup email; additional addresses can be added with the + icon |
| Emergency Address | The address forwarded to emergency services if the user places an emergency call, selected from the domain's configured addresses |
| User's Scope | Determines the user's access level — see below |
| Area Code | The user's area code, defaulted from the domain |
| Caller ID | The number displayed to customers the user calls, selected from the domain's available numbers |
| Emergency Caller ID | The number emergency services see and can call back on, selected from the domain's available numbers |
| Enable Voicemail | Optional |
| Add Phone Extension | Should generally remain checked, so the user is provisioned a phone device alongside the extension |
Selecting Add User again submits the form and creates the account, which then appears in the Users list. From there, the Pencil icon edits the user and the X icon deletes them.
Dial PermissionDial Permission — the calling regions a user is permitted to dial out to — appears as a column in the Users list but is not part of the Add a User form; where it is configured has not yet been confirmed.
User's Scope
| Scope | Description |
|---|---|
| Basic User | The default scope, for customer-facing users with no administrative access |
| Call Center Agent | Adds access to log into and handle calls from UC Call Queues |
| Site Manager | Access to all information related to the user's assigned Site |
| Office Manager | Access to all information related to the entire domain |
Site Manager Requires a SiteAssigning a Site to a user is what allows a Site Manager–scoped login to be scoped to that same site. Sites themselves are managed from the
Sitestab alongsideUsers.
Password and Voicemail PIN
A New Password and Voicemail PIN are optional at creation — either can be left for the user to set from their own setup email — but are validated against the following requirements if entered directly:
| Field | Requirements |
|---|---|
| New Password / Confirm Password | At least 8 characters, including at least 1 capital letter and 1 number; cannot contain the user's extension |
| Voicemail PIN | At least 4 characters; cannot contain the user's extension |
