UC Attendant Console

Monitors extension status and manages parked, transferred, and active calls from the three-panel Attendant Console in the Xima UCaaS Admin Portal.

The Attendant Console is a switchboard-style tool for a receptionist or front-desk operator to manage a domain's incoming calls from a single screen. It shows which extensions are available, busy, or ringing in real time, and includes a company directory, drag-and-drop call transfers, and the ability to park calls or send them to voicemail.


Accessing Attendant Console

  1. Select Apps > Attendant Console from the top of the Xima UCaaS Admin Portal
  2. The interface opens with three panels — Call Park Zone, Extensions, and Make a Call / Active Calls

Interface Overview

The Attendant Console interface is made up of three panels.

Call Park Zone

Two call parking modes are supported. With Dynamic Call Parking, a parked call goes to the first available call park automatically. With static call parking, a call is parked by transferring it to a specific call park. The visual details vary slightly between the two modes, but the fundamentals stay the same. A toggle switch in the Call Park Zone turns Dynamic Call Parking on or off.

Check the Toggle Before Parking

The Dynamic Call Parking toggle in the Call Park Zone determines whether a call parks automatically or whether a destination call park is chosen manually.

Parking a Call

With Dynamic Call Parking enabled:

  1. Drag and drop the call to the Call Park Zone, or select Park within the active call widget
  2. The call is parked in the first available call park

With Dynamic Call Parking disabled:

  1. Drag and drop the call to the desired call park in the first column, or select Park on the active call widget
  2. If Park was selected, select the destination call park to complete the transfer

Working with Parked Calls

A parked call can be retrieved or transferred.

  • Retrieve moves the call to the Attendant Console user's phone. Selecting Retrieve, or dragging the call to the Make a Call column, performs a park retrieve.
  • Transfer moves the call to any user in the domain. Selecting Transfer and then an extension in the Extensions column, or dragging the call to the Extensions column, transfers it from the park.

Extensions Panel

The Extensions panel shows the extensions in the domain along with information related to the type of extension. Tabs at the top switch what is displayed: Users, Queues, Auto Attendants, or Conference Bridges.

Users

The Users tab lists each user in the domain along with a status indicator.

The following options help locate the right user quickly:

  • Sort by online status, first name, last name, or extension
  • Filter by department
  • Create groups to display other subsets of users
  • View favorites — contacts marked as favorites in the Portal's Contacts area carry over automatically to the Attendant Console

Queues

The Queues tab lists each queue in the domain along with a count of available agents — see UC Call Queues. Queues can be sorted by name, extension, or available agent count.

Auto Attendants

The Auto Attendants tab lists each auto attendant in the domain — see UC Auto Attendants. Auto attendants can be sorted by name or extension.

Live Search on Every Tab

Live search is available on every tab in the Extensions panel — searching by name or extension finds the right entry quickly.


Make a Call and Active Calls

The third panel handles placing new calls and managing calls already in progress.

Making a Call

  1. Select Make a Call to open the dial pad
  2. Dial the number — the operator's own desk phone rings first
  3. Answering the desk phone connects the call, and the system then calls the destination number

Managing an Active Call

While a call is active, the console shows call status, call direction, and caller ID (if available), along with the following call handling options:

  • Hold — holds the call; selecting it again returns to the call
  • Transfer — selecting Transfer, then a destination user in the Extensions column, offers a blind transfer, an assisted (attended) transfer, or a transfer to voicemail; the active call can also be dragged directly onto an extension in the Extensions column to transfer it
  • Park — parks the call; with Dynamic Call Parking enabled, selecting Park parks it directly, and with Dynamic Call Parking disabled, selecting Park and then the target call park completes it
  • End — terminates the call

Touchscreen Usage

The Attendant Console is designed with touchscreens in mind for desktop or tablet use, so drag-and-drop parking and transfers work the same way with touch input as with a mouse.
