UC Conferences
Creates a group conference bridge in the Xima UCaaS Admin Portal that participants dial into using a pin.
A conference bridge lets a group of participants call into a shared meeting using a pin, rather than being conferenced in one at a time from an active call.
Not the Same as Conferencing an Active CallThis sets up a standing meeting bridge participants dial into. It is not the method used to conference another party into a call already in progress.
Default Session LimitConference sessions are limited to 15 participants by default at the platform level — there is no field in the Add a Conference form to raise this per bridge. The NetSapiens partner responsible for the deployment can be contacted with questions about raising this limit.
Creating and editing conferences requires an Office Manager–level login or higher.

Creating a Conference
Selecting Add Conference opens the Add a Conference form:
| Field | Description |
|---|---|
| Name | A descriptive name for the conference |
| Type | Determines who owns and can manage the bridge, and whether the bridge has its own Extension or is tied to an Owner — see below |
| Extension | Shown for a Dedicated conference bridge. Fixed once the bridge is created and cannot be changed afterward. |
| Direct Phone Number | Optional. A number available on the domain, selected so participants can dial in directly |
| Leader PIN | The pin a leader enters to start and moderate the conference |
| Participant PIN | The pin a regular participant enters to join |
| Minimum Participants to Start | Defaults to 2 |
| Options | Additional behavior toggles — see below |
Selecting Save creates the bridge.
Type
| Type | Description |
|---|---|
| Dedicated conference bridge | Has its own Extension, fixed once created; editable only by Office Manager–scoped logins or higher |
| Owned conference bridge | Assigned an Owner in place of an Extension, letting a login below Office Manager scope moderate their own bridge; can also be given a Direct Dial number, letting it be dialed directly the same way as calling that user's own extension |
Options
| Option | Description |
|---|---|
| Require a Leader to Start | The conference cannot start until the leader joins |
| Announce Participant Arrivals/Departures | Plays a notice when someone joins or leaves |
| Prompt All Participants for Their Name | Asks each participant to record their name on entry |
Dialing Into a Conference
- Dial the direct number or extension assigned to the conference bridge
- Enter the appropriate pin and follow the voice instructions:
| Role | Pin |
|---|---|
| Leader | The Leader Pin |
| Participant | The Participant Pin |
Managing a Live Bridge
From the Conferences list, selecting the number under Participants for a bridge shows each participant's name, number, leader status, status, and duration. A number can also be added manually to the bridge from this screen by entering it and selecting the + icon — useful if a participant did not have the dial-in number handy. From this same view, participants can also be muted or disconnected if necessary.
